If you need to bring multiple callers together on a single conference call, Audio Meetings are the ideal solution. Each organization is initially provided with one Audio Meeting, and additional meetings can be added upon request.
The Meetings screen in the app displays all Audio Meetings configured for your organization. From this screen, you can update meeting settings and manage participants currently in a session.
To have additional bridges set up for your organization, please contact support by submitting a ticket — we’ll be happy to assist you.
To manage the options for an audio meeting, navigate to the Meetings screen, expand the Audio Meetings menu item, and select the audio meeting to update.
Once you select an Audio Meeting, a list of options specific to that meeting will be displayed.
If enabled, callers will be prompted to enter a PIN. Those who enter this PIN will be recognized as Leaders. Enable this option if you want to designate a conference room leader with the ability to manage participants — including muting, removing, or controlling other aspects of the meeting.
If enabled, callers will be prompted to enter a PIN to join. Use this option to make the conference room private and require authorization for access.
Callers will wait until someone joins using the Leader PIN. This option requires a Leader PIN to be set. Enable it if you want to prevent participants from entering the conference room until a leader is present.
Remove all participants from the conference when the last Leader leaves.
When enabled, Quiet Mode disables all enter/leave prompts and user introductions. By default, an audible prompt is played whenever someone joins or leaves the conference room. Enable this option to suppress those sounds and keep the conference quieter.
When enabled, callers will hear an announcement of the number of participants currently in the conference.
If enabled, all users will be prompted to record their name before joining the conference. Names will be announced to other participants upon entry.
Play hold music when only one caller is in the conference.
When enabled, all participants will be muted upon joining the conference. This setting is intended to be used alongside Wait for Leader to ensure a controlled start to the meeting.
Sets the maximum number of participants allowed in the conference. Enter 0 for no limit.
After making changes to the settings above, click Save Options to apply them to the conference room.
When users join an Audio Meeting, they will appear in the Participants section of the screen. If you have the appropriate permissions, additional actions will be available for each participant. Each entry will show the user’s name, extension (if available), and the total time they have been connected to the audio meeting.
Removes all participants from the audio meeting, including leaders.
Remove all non-leader participants from the audio meeting.
Each participant has a Kick button. Selecting it will remove the participant from the audio meeting.
Each participant also has a Mute button. Pressing this will mute the participant, preventing them from speaking in the audio meeting. When muted, a red mute icon will appear under their name, and the Mute button will change to Unmute. Pressing Unmute will restore their ability to speak and remove the red mute icon.
The Transfer button lets you move a participant to another extension, number, audio bridge, queue, or park. After pressing it, the transfer screen will appear—select the destination, and the participant will be transferred accordingly.
External callers can also join your Audio Meeting. To allow this, the meeting must be added as a dialable option in a Voice Menu. Click here for instructions on setting up voice menus, or contact support by opening a ticket.
