T57W USER GUIDE


OVERVIEW

The Yealink T57W is an amazing prime business phone that is ideal for executives and business managers with heavy call loads. The adjustable 7-inch Multitouch screen display allows you to select items and navigate menus directly on the screen. The T57W provides advanced wireless connectivity with Bluetooth technology that supports wireless headset options. Connect up to 3 sidecars for more line key options.

SETUP

Factory Reset

If you're bringing your own phone to Intulse, a factory reset will clear out any settings from your previous provider. A factory reset is also helpful in situations where any other troubleshooting steps haven't resolved an issue with your phone. This will restore your phone's settings to the factory defaults and allow you to start from a clean slate.

To perform a factory reset, press and hold the redial key for 5-10 seconds until you see a confirmation message. Tap OK and the reset will begin. If your phone is already provisioned with Intulse, it will automatically reconnect to Intulse's services once the factory reset is complete.

Connecting to Internet

Use an ethernet cable to connect your phone to your network (router, firewall) or connect to a Wi-Fi network.

Follow these steps to connect to Wi-Fi:

  1. Tap the Menu icon and then the Basic settings icon.
  2. Scroll down through the Basic Settings and tap Wi-Fi. Be sure the On button is selected.
  3. Scroll down the list of Available Networks and select your local network. Then tap Add.
  4. Use the Touch Screen keyboard to enter your Wi-Fi password.
  5. Tap Save.

PLACING A CALL

To place an outgoing call, choose one of the following options:

  1. Type a number on the keypad, then either tap Call or pick up the receiver.
  2. Press the speaker key or pick up the receiver, then type a number on the keypad.
  3. Tap a programmed extension or speed dial and the call will immediately be dialed.

Calls placed from your Intulse app when your Virtual Phone is disabled will begin from a connected physical device. When you enter the name or number in the app and click the call button, any enabled desk phones assigned to your extension will also ring. When you pick up the call on one of those devices, you will hear the outgoing ringtone because the system is in the process of calling the intended party.

Placing Multiple Calls

When you are on a call, you can hold your current call and place a new call.

  1. Press the Hold key to place the original call on hold.
  2. Tap the New Call softkey.
  3. Enter the desired number.
  4. Tap Call.
  5. Tap the Resume softkey to pick up the original call.

ANSWERING A CALL

When you receive an incoming call, the phone will ring and the screen will display the details related to the incoming call.

To answer the incoming call, do one of the following:

  1. Pick up the handset.
  2. Tap the Answer softkey.
  3. Press the speaker key.
  4. Press the headset key on your phone or headset. This will only work if your headset is connected to your phone, not your computer.

Note: When pressing the Answer softkey, the call is answered in the speakerphone (hands-free) mode by default.

Answering a Second Incoming Call

If Call Waiting is enabled on your phone AND your Intulse app, you can answer an incoming call even if you are currently on an active call. A call waiting tone will alert you of the new call and the incoming caller ID details will be displayed on your phone.

  1. For the active call, you will have the options to End Call, Transfer, or Hold.
  2. Tap the banner indicating the new incoming call and select Answer, Forward, or Reject.
  3. If you put the first caller on hold and answer the incoming call, when that call is ended you will see the original caller waiting on hold.
  4. You now have the following options: Transfer, Resume, New Call, End Call, or Park.

Note: Call Waiting must be enabled to utilize this feature.

HOLDING & RESUMING CALLS

You can place an active call on hold and resume the call when you are ready. When you place a call on hold, the held party will hear the music or recording selected by your system administrator.

Holding a Call

Placing an active call on hold is simple.

Tap Hold during a call.

  • The phone ignores the engaged audio device (handset or headset) and plays a beep in the Speakerphone (hands-free) mode by default. The Speakerphone key will always light up and the phone will beep softly every 30 seconds to remind you that you still have a call on hold.
Resuming a Held Call

You can easily view and resume any calls place on hold.

  1. Tap Resume to pick up a call that has been placed on hold.
  2. If multiple calls are placed on hold, tap the banner for the call you would like to select.

TRANSFERRING A CALL

During a call, you can transfer the call to another extension using one of the following methods:

  1. Blind Transfer: Transfer a call directly to the new extension without any interaction.
  2. Semi-Attended Transfer: This places the caller on hold and allows you to hear a ringback tone before transferring the call. If the user at that extension isn't available, you can retrieve the caller from hold.
  3. Attended Transfer: This puts the caller on hold, allowing you to communicate with the intended recipient before the call is transferred.

Note: Many organizations use call parking instead of transfers because it's an easier way to move a call to other users.

Performing a BLIND Transfer

A blind transfer sends the caller to another extension without any interaction between the person transferring the call and the extension receiving the transfer.

  1. Tap Transfer during an active call.
  2. Choose an extension or speed dial button, or type a phone number using the keypad and press the B Transfer softkey.
  3. The call will be immediately transferred to the recipient.

A blind transfer can also be completed by pressing a BLF key. This will immediately end the call with your extension and transfer it to the desired destination.

Performing a SEMI-ATTENDED or ATTENDED Transfer

A semi-attended transfer places the caller on hold and allows you to hear a ringback tone before transferring the call. If the user at that extension isn't available, you can retrieve the caller from hold. An attended transfer puts the caller on hold so you can communicate with the intended recipient prior to the call being transferred.

  1. Tap Transfer while on an active call.
  2. Choose a programmed extension or speed dial, or type a phone number using the keypad.
  3. Tap Call. If you do not push any buttons, the transfer will begin automatically.
  4. For a SEMI-ATTENDED transfer, tap Transfer as soon as you hear the ringback tone.
    • This option will display your extension number on the intended recipient's caller ID until the call is transferred.
  5. For an ATTENDED transfer, wait for the intended recipient to answer. The caller has been placed on hold, allowing you to communicate with the intended recipient. When you are ready to transfer the call, tap Transfer and the transfer will be complete.

Note: If you wish to move calls around while having the opportunity to speak with the destination before they receive the call, then Intulse recommends using call parking instead of attended transfers in most cases.

CALL PARKING

Call parking makes the process of moving calls to different extensions within your organization much easier. Calls are placed on hold by assigning them to a "parking space". Any user can retrieve a call from the parking lot by pressing the corresponding line key on any phone connected to your system.

For example, let's suppose that John answers many incoming calls during the day. John may need to send some of those calls to his manager, James. John can park a call in a space and call or message James to let him know that a caller is holding for him in Park 71. James can answer that call from any phone connected to their Intulse system. If James is unable to answer the call, John or anyone else in their organization can retrieve it. If no one picks it up, the call will eventually ring back to the person who parked it.

Parking a Call

Parking a call in a parking lot is simple and can be accomplished in one of the following ways.

  1. While on an active call, tap a programmed parking space.
  2. If you need to park a call but don't have programmed parking spaces, simply perform a blind transfer to an available parking space number.
    • While on the active call, tap Transfer.
    • Enter the parking spot number, usually 71 through 78.
    • Tap B Transfer.
Retrieving a Parked Call

Parked calls can easily be retrieved from any phone connected to your Intulse phone system in one of the following ways.

  1. Tap a programmed parking space which holds the call you wish to retrieve.
  2. If you need to retrieve a call from a parking space for which you do not have an assigned button, simply dial the number for that parking space. The call is now active.
    • For example, if you wish to retrieve a call from parking space 72, simply dial 72 and tap Call. The call immediately becomes active on your device.

MULTIWAY/CONFERENCE CALLING

There are a few different ways to accomplish multiway calling. We will cover how to merge a few calls together here, but Intulse offers an Audio Bridge solution, which is what we recommend for more than 3 callers.

Multiway Calling, or creating a phone call between 3 callers, can be accomplished by following these steps:

  1. Place a call to the first party.
  2. When the first party answers, select Conference to place a new call. The first caller is placed on hold.
  3. Place a call to the second party.
  4. When the second party answers the call, select Conference again to merge the two callers into one multiway call.
Merging Two Active Calls into a Conference

You can also invite a held call into a conference call with an active call. Let's assume you have two calls on your phone that you want to merge into one conference call.

  1. Select the first caller so one of your calls is active.
  2. While on that active call, select Conference.
  3. Now from the list of recent calls, tap the call that is being held.
  4. Your calls are now merged into one conference call.
Splitting a Conference Call

Calls that have been merged into one conference call can also be split back into individual calls.

  1. While on your conference call, tap the Split softkey.
  2. Calls are separated and placed on hold.
  3. Tap the banner for the call you would like to pick up first and tap the Resume softkey.

ACCESSING THE VOICEMAIL SYSTEM

Accessing your Personal Voicemail

Accessing the voicemail for your extension is simple.

  1. Press the message key ().
  2. Enter your Voicemail Pin and, optionally, press the pound (#) sign.
  3. The default pin for any voicemail box is the extension number. If you have not reset your pin, you will be prompted to do so the first time you check it. The pin for your voicemail can be found on the voicemail settings tab in the Intulse App.
Accessing Another User’s (Shared) Voicemail

Your phone may be configured so one of your programmable line keys is monitoring another voicemail box. It will turn red if that mailbox has new messages.

  1. Tap the programmed line key.
    • If you don't have a programmed line key, you can press the asterisk ( * ) button and then dial the mailbox number. Once you hear the message begin, press the asterisk again and you will be prompted to enter the pin for that mailbox.
  2. Enter your Voicemail Pin for this mailbox (if you have one) and, optionally, press the pound (#) sign.
    • The default pin for any voicemail box is the mailbox number.
