ACCESSING VOICEMAIL


There are several ways to access the voicemail system, depending on whether you’re using a physical device or the Intulse App, as well as whether you are checking messages for your personal mailbox or a different/shared mailbox.

ACCESSING VOICEMAIL FROM A PHYSICAL DEVICE

Access your Personal Mailbox from your Desk Phone

This can vary depending on which model of phone you are using, but most phones can follow the steps below.

  1. Press the voicemail button or dial *97.
  2. Enter your password (if you have one) and, optionally, press pound (#).
    • The default password for any voicemail box is the box’s number.
Access Another Mailbox from your Desk Phone

This is primarily for a shared voicemail, which can be accessed from any phone connected to your system.

  1. Dial *98 and enter the mailbox number.
    • You may have a BLF button to monitor a shared voicemail. If so, simply press that key.
  2. Enter the password (if one has been assigned) and, optionally, press pound (#).
    • The default password for any voicemail box is the mailbox number.
Access a Mailbox from an “External” Phone

This may or may not be setup for your organization. If it is setup, how you access the voicemail system will vary. A few of the more common configurations are:

  • Have a dedicated phone number allowing employees to access the voicemail system.
  • Have an unannounced option on a voice menu that employees can dial to access the voicemail system.

ACCESSING VOICEMAIL WITHIN THE INTULSE DASHBOARD

You can manage voicemail boxes, personal and shared, through the Intulse App on any device (computer, mobile phone, tablet, etc).

Follow this step-by-step guide to download and log into the Intulse app.

You can setup your mailbox, manage your recordings, and listen to your messages all from inside the Intulse App, For more information see the Voicemail section of the Intulse App Walkthrough.

You will easily be able to navigate between your voicemail box and any other voicemail box to which you have been assigned permission.

USING THE VOICEMAIL SYSTEM

The first time you access a voicemail box, you will be asked to setup your mailbox. Once your settings have been selected, you can simply begin using the voicemail system as shown below.

First Time Accessing a Voicemail Box

  1. Enter your password, which by default is your extension number.
  2. Listen to the automated instructions to set up your customized greeting.
  3. Record your Name greeting. This is used by many systems for a dial by name directory.
    • Press 1 to accept the recording; 2 to listen to the recording; or 3 to re-record your name.
  4. Record your Unavailable greeting. This is what callers will hear if they reach your voicemail because you didn't answer your phone.
    • Press 1 to accept the recording; 2 to listen to the recording; or 3 to re-record your unavailable message.
  5. Record your Busy greeting. This is what callers will hear if they reach your voicemail because you were on another call.
    • Press 1 to accept the recording; 2 to listen to the recording; or 3 to re-record your busy message.
  6. Enter your new password and press the # key.
  7. Re-enter your password and press the # key.

Using the voicemail system

When calling into your voicemail box, you will be asked to enter your password and then presented with menu options.
Press 1 to listen to New Messages.
Press 2 to Change Folders.

  • Press 0 for the "New Messages" folder.
  • Press 1 for the "Old Messages" folder.
  • Press 2 for the "Work Messages" folder.
  • Press 3 for the "Family Messages" folder.
  • Press 4 for the "Friends Messages" folder.
  • Press # to cancel.

Press 3 for Advanced Options.

  • Press 1 to send a reply.
  • Press 3 to hear the message envelope.
  • Press 5 to leave a message.
  • Press * to return to the main menu.

Press 5 to Repeat the message.
Press 7 to Delete the message.
Press 8 to Forward the message.
Press 9 to Save the message.
Press 0 for Mailbox Options.

  • Press 1 to record your "Unavailable" message.
  • Press 2 to record your "Busy" message.
  • Press 3 to record your "Name".
  • Press 4 to manage your temporary greeting.
  • Press 5 to change your password.
  • Press * to return to the main menu.

Press * for Help.
Press # to Exit.
